Terms and Conditions
All Southern Campers rates are:
• Charged in New Zealand Dollars
• Subject to terms and conditions outlined below
Our rates include Goods and Services tax (GST) of 15%
1. DAILY HIRE CHARGE
All Southern Campers hire charges are calculated on a daily basis. E.g. The day you pick up the vehicle is calculated as the first day of your rental and the day you return the vehicle is calculated as the last day of the rental.
2. PICK UP AN DROP OFF VEHICLE
Southern Campers will be happy to deliver vehicle to you at Queenstown, Dunedin or Invercargill airport (fee applies) and pick up again at agreed time.
You are welcome to pick up your rental from our Gore Branch.
3. HOURS OF OPERATION
Hours of operation Monday to Friday 8am to 5pm (Monday to Friday)
Closed Public holidays
However, we will happily meet you at airport outside these times to Drop off and Pick up your Vehicle (fee may apply)
4. DRIVERS LICENCE AND MINIMUM AGE
All drivers must be 21 years of age, and hold a full unrestricted driver’s license for the type of vehicle being hired
If your driver license is not in English then an international license is required or an accurate translation of your license.
The hirer must have held a full driver’s license for at least 2 years and it must be shown at time of pick up, there will be no exceptions to this rule.
5. VEHICLE INSTRUCTION USE
Upon pick up of your vehicle one of our team will give you a free explanation of use of the vehicle and interior equipment and some driving tips.
6. MINIMUM HIRE PERIODS
For all rentals, we have a minimum hire period of 4 days. (contact us for quote if you require shorter hire period)
Between 15th December and 15th January minimum hire period of 10 days.
7. LONG TERM RENTALS
If you are interested in a long-term rental (over 21 days) please email us for a Quote
8. DEPOSIT AND PAYMENT
If booking well in advance (over 28 days from rental date) you can pay a non-refundable deposit of 20% of total hire price.
If booking is to take place within 28 days full payment required.
The remaining balance is due 28 days prior to rental commencement date.
If after this date the hire is cancelled the cancelation policy will apply.
9. CREDIT CARD PAYMENT
All credit card charges are in New Zealand Dollars. Due to exchange rate fluctuations, there could be some variations to amount refunded up or down.
Southern Campers will not be held liable for and Differences
A 2% surcharge will be added to all credit cards except American express where a surcharge of 3.5% will be added. This includes any Security bond held on cards. (refer bonds)
The surcharge will not be refunded.
10. CANCELLATION AND REFUND POLICY
Your deposit paid is non-refundable
Final payment is the payment made 28 days prior to rental – remainder of fee
If hire is cancelled:
20 – 28 Days prior to rental
20% of the final payment price is retained by Southern Campers.
10-19 Days prior to rental
60% of the final payment price is retained by Southern Campers
1-9 Days prior to rental
80% of the final payment price is retained by Southern Campers
Cancelled on day of pick up or no show
100% of total rental price is retained.
If the vehicle is returned early for any reason no refund is available.
Any reductions in rental period must be approved 28 days prior to rental commencement.
Southern campers may at its discretion treat any decrease in rental period as a cancellation.
11. TRAVEL AND ROAD RESTRICTIONS
Hirers are only to drive on sealed roads in New Zealand and the following roads are prohibited under all circumstances:
• 4 and 6 berth campers forbidden Te-Anau to Milford Sound. (bus available at Te Anau campervan drivers discount may apply)
Skippers canyon road (Queenstown)
Crown Range Road (Queenstown)
Ninety-mile beach (northland)
Ball Hutt road (MT Cook)
All ski field roads.
Any beach or gravel road.
Southern Campers reserves the right to at its discretion restrict movement in certain areas due to adverse road or weather conditions or acts of god or nature.
If any of these road conditions are breached the hirer all insurances become null and void and the hirer will be responsible for all costs and damages incurred.
All Southern Campers vehicles are SMOKE FREE. There is absolutely no smoking in the vehicle.
If the vehicle is returned and there is a smell of smoke inside the vehicle noticed when dropped off there will be a $500 cleaning fee applied (no exceptions)
13. VEHICLE SUBSTITUTION AND DESIGN
Should the vehicle the hirer has booked due to unforeseen circumstances be unavailable before the rental date, Southern Campers reserves the right to substitute an alternative vehicle without prior notification and at no extra cost. This does not constitute a breach of contract or entitle the hirer to a refund.
Southern campers cannot guarantee another vehicle will be available and if they cannot provide one a full refund will be issued.
If problem occurs during rental period and no other vehicle is available, our liability is limited to a refund of the remainder of hire charge (unless caused by hirer). Also must abide by Liabilities clause.
All Southern Campers come with basic cooking equipment. (pots, pans, plates, cups, cutlery etc.)
Linen and pillows and towels are provided.
The hirer will not hold Southern Campers Liable for and charges or fees incurred due to accident or mechanical breakdown. Including but not limited to (accommodation costs alternative transport etc)
The hirer is not entitled to any refund at the end of the hire period unless there is a mechanical problem that cannot be rectified during the hire period. Southern Campers must be notified of any problem within 24 hours and be given a chance to rectify the problem. Southern Campers will not accept any claims made at the completion of the rental. Southern Campers is not responsible for any delay in repairs caused by a public holiday.
A partial refund (for remainder of hire period) can only be requested if a delay in travel of 48 hours or more has occurred. Southern Campers will not be held liable for any accommodation charges, meals, change of itenary or out of pocket expenses resulting from a breakdown of the vehicle or a vehicle accident.
If less than 48 hours Southern campers can deny any request at its own discretion.
Southern Campers will not accept any refund or claim relating to the failure of any accessories in campers, including but not limited to tv, gas cooker, hot water system, heater, shower or toilet, fridge. Any accessory does not constitute a breakdown. However, if a problem occurs contact Southern Campers and they will try to arrange to be fixed while on your travels.
The hirer is completely liable for any damage to vehicle or third party and charges where
• Any breaches of terms and conditions
• Driving on Gravel (unsealed) roads
• Negligence or wilful misconduct has occurred
• All costs relating to the use of incorrect fuel, or fuel in water tank
• The hirer is involved in a single vehicle rollover
• The hirer takes the vehicle onto sand or beach
• Any towing costs where vehicle has become stuck
• When the vehicle has been used in breach of and legislation or regulation
• Any damage caused if the vehicle is overloaded
• Any damage if vehicle is driven after a mechanical breakdown or failure (including accident)
• Any damage caused by a person driving not on the rental agreement
• The vehicle requires retrieving or recovering
• The hirer is completely responsibly for any overhead damage caused by driving under height restricted areas including but not restricted to (bridges, verandas etc)
• Retrieval, storage and recovering vehicle to Gore in event of accident where it unsafe or in breach of New Zealand transport regulaions.
The hirer agrees to indemnify Southern Campers from and against any or all claims, demands, actions, liabilities, losses, costs, and expenses (including but not limited to legal costs on on indemnity basis), incurred by Southern Campers as a consequence of any breach by the hirer or joint hirer of this agreement or the failure for whatever reason of the due and punctual performance of your obligations under this agreement.
15 MAINTENANCE AND REPAIRS
The hirer shall take all reasonable steps to properly maintain the vehicle including water and oil checks every 500k’s
Southern Campers need to be notified immediately should any warning lights indicate any potential malfunction and stop driving immediately if instruments indicate the vehicle is getting too hot.
The customer is liable for all costs of damage and recovery if they have not maintained the vehicle correctly.
Southern campers will reimburse the hirer for expenditure up to NZ$100 for costs incurred in repairing a mechanical problem.
Repairs over NZ $100 need to be authorised by Southern Campers.
In all cases receipts will need to be submitted for reimbursement or the claim will not be paid.
For any tyre damage during the rental period the hirer is liable for all costs relating to the repair or replacement of the tyre. (other than if the tyre is proved defective and is returned to Southern Campers for a Warranty claim on manufacturer.
16 INFRINGEMENTS AND ADMINISTRATION FEES
Southern Campers reserves the right to charge the hirer for any speeding, toll way, parking fines and fines for beach of the freedom camping act or individual council bylaws without authorisation. (irrespective of liability). Charges will be made to imprinted credit card. A $50 processing fee will apply to any infringements or fines received by Southern Campers
17 TRAVEL INSURANCE
Southern Campers advises all travellers to have travel insurance to the highest level.
Southern Campers reserves the right to refuse any rental at our discretion.
19 RENTAL EXTENSIONS
If the hirer wishes to extend their rental period, they must first contact Southern Campers who will advise of additional cost. Rental extension is subject to fleet availability.
20 SECURITY DEPOSIT OR BOND AND EXTRA FEES
The security bond is the full excess amount on insurance for rental.
Security bond $3500. Nzd
If Bond reduction option is taken ($35 per day) security bond $500
This is refunded after the hire provided that:
• The vehicle is returned at the agreed time and location ($500 if breached)
• The fuel tank is full (cost of tank fill plus $30 handling fee)
• Waste water tanks have been emptied ($50)
• Toilet tank has been emptied ($150)
• The vehicle is returned reasonably clean inside. (No mud, swept out and wiped down)
• The Gas bottle is full (refill charge plus $30 handling fee)
• No Damage has occurred to the vehicle or a third-party property.
• Any insurance exclusions have been violated
• Vehicle is returned in a clean state as it was supplied ($150)
21 IN THE EVENT OF AN ACCIDENT THE FOLLOWING MUST BE FOLLOWED
• Obtain names and numbers of any third parties and witnesses
• Registration numbers of other vehicles involved must recorded.
• Report accident to police if any third-party damage or any injury
• Not accept blame
• If possible photograph all damage to vehicles and registration numbers
• Phone Murray or Nicola at Southern Campers immediately
The hirer must provide and police report if applicable and supporting photos to Southern Campers
The hirer is required to pay the security deposit (bond) if applicable and any other amount due to them in respect to any damage arising from an accident loss or damage.
This amount is payable at the time of reporting the event and not the completion of rental.
Southern Campers reserves the right to charge the daily rental rate for the period the vehicle is off the fleet for accident repairs.
Southern Campers will help ensure the accident report form is completed and signed by the hirer.
If another vehicle is provided by Southern Campers another security deposit (bond) will first need paid and any vehicle relocation fee deemed relevant paid.
22 TIME FRAME FOR CLAIMS
Southern Campers will endeavour to forward any moneys owing to hirer as quickly as possible, however third-party claims can sometimes take several months to settle.
The hirer aggresses to provide all assistance required in handling any claim.
UNDER NO CIRCUMSTANCE IS THE HIRER TO START OR DRIVE A VEHICLE THAT HAS BEEN INVOLVED IN AN ACCIDENT, DAMAGED BY ROLL OVER OR WATER SUBMERSION.
23 ROADSIDE ASSIST AND BREAKDOWNS
The vehicle is covered by a 24hr 7 day a week mechanical breakdown service. If the vehicle has any mechanical failures these need to be reported to Southern Campers as soon as possible to give Southern Campers the opportunity to rectify the problem during the rental.
The service does not cover failure resulting in the hirers action or inactions which includes but is not limited to:
• The vehicle running out of fuel or the incorrect fuel being used
• The keys being locked inside the vehicle or lost.
• Flat batteries caused by incorrect usage of batteries and/ or incorrect usage of any equipment that uses batteries.
• A breakdown caused by accident damage
• A breakdown caused by neglect
The hirer may be liable for a charge by the roadside assistance provider in the event assistance is required for the above.
Southern Campers may use Global Position Sensors (GPS) to track vehicles location and mileage travelled.
Southern Campers will hold an imprint of credit card for any infringements received after the rental period. (this will be destroyed 60 Days after rental.)
Customer credit card numbers will not be disclosed to third parties
25 TERMINATING THE CONTRACT AND REPOESSING THE VEHICLE
The hirer acknowledges that Southern Campers may terminate this agreement and/ or repossess the vehicle (and for that purpose enter upon any premises and remove the vehicle) at any time without notification to the hirer, and the hirer will pay reasonable costs of repossessing the vehicle including towing charges if any of the following:
• Southern Campers has been advised to do so by an officer of the New Zealand police force in relation to driving matters.
• The customer in in breach of any terms and conditions in this contract
• The customer has obtained the vehicle through fraud or misrepresentation
• The vehicle is not returned on the correct date
• Southern campers believe that the safety of the passengers or the condition of the vehicle is endangered
Regretfully no refunds can be given for any unused portion of your holiday. (however, travel insurance may in some circumstances cover the unused portion)
Refunds for hires paid and cancelled prior to pick up are subject to our cancellation policy.
If it is determined by Southern Campers that a refund is due Southern Campers will process this within 15 working days.
27 DELIVERY AND RETURN OF VEHICLE AND LATE RETURN
THE VEHICLE SHALL BE RETURNED IN A CLEAN CONDITION, ON THE AGREED RUTURN DATE, AT THE AGREED TIME AND LOCATION.
Failure to obtain permission in writing from Southern Campers for a late return will result in the hirer being charged their daily rate and an additional $500 per day for each day the vehicle is not returned.
28 INSURANCE AND SECURITY DEPOSIT (BOND)
The hirer agrees to have read and understood this agreement.

The hirer agrees there are no verbal contracts and all conditions must be agreed in
If the hirer breaches this agreement Southern Campers has the right to take immediate possession of the vehicle and terminate the contract.
Breach of agreement will result in immediate termination of contract and no refund shall be issued.
This agreement is governed by the laws of New Zealand.
